Job Description:
Open the office on time and at any other time as required by management for special purposes.
Ensure signing in procedures is adhered to by all staff reporting on duty.
Check and monitor the sales team. This includes quantities of goods taken and returned, money received and outstanding amounts, keeping track of balances if any. Balances must be kept to a minimum. Review guidelines for outstanding amounts wit management.
Receive, file and make sure all invoices are legitimate, and ensure payments are made on time.
Being aware and keeping track of office affairs, orders and deliveries and monitor existing inventories of products (e.g. Putty, silicone tubes, fittings).
In case of any complaint, investigate, resolving the matter in a professional manner. In complicated cases ensure that you discuss the solution with management.
Update price lists in consultation with management and inform the changes to all sales staff immediately.
Good customer service is a vital part of this business; you must create good business relations customers, and be attentive to their needs.
As top management, you must dress in presentable business attire, and be ready to represent the directors in business meetings.
Maintain office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions; review and monitor, with bookkeeper or other financial personnel, sales and expenditures as needed and work to improve performance.
Design and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
Keep the office a clean and tidy workplace.
Perform other duties as assigned by the management.
