Job Title: Administrative Assistant Summary: Cytonn Investments is an independent investment company offering privately placed alternative investment solutions (Real Estate, Private Equity and Structured Products) targeting institutional investors, high net-worth investors and the diaspora.
The company is looking to employ an energetic, highly organised and pleasant Administration Assistant to join the team.
Skills Required
- The incumbent should be an ongoing student pursuing a Bachelor’s Degree in their final year or a recent graduate with a Bachelor’s Degree, with at least an Upper Second (achieved or expected)
- Minimum of B+ in KCSE
- Strong skills in Microsoft Office – PowerPoint, Word and Excel
- Good verbal and written communication skills.
- Great Customer Care and Time Management skills
- Ability to work effectively both individually and in a team
- Proactive and engaged with a hunger to develop to a greater role
- Positive attitude and flexible to handle diverse tasks.
Responsibilities
- Screen and manage all visitors and vendors by settling them and giving them the required attention;
- Manage the reception and the office by ensuring that facilities are clean and standards maintained;
- Handling and reconciling of petty cash as per company policy;
- Monitor inventory levels of office supplies on a regular basis and ensuring that the re-order process is done in a timely manner.
- Manage kitchen area and follow up on kitchen staff;
- Managing and booking of the meeting rooms;
- Track of any items/assets that are entering or leaving the building and ensuring they have the appropriate approvals and exit passes;
- Assist in planning and coordinating team activities and events;
- Oversee all aspects of front office co-ordination – maintain a visitor’s register, handle and direct inquiries and ensuring the reception area is manned at all times;
- Any other Administrative tasks that may be required from time to time.
