Organizational Setting and Reporting


The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the representative office of the Secretary-General. We support programme implementation of the UN Environment Programme (UNEP) and the UN Human Settlements Programme (UNHABITAT) globally, as well as other UN offices in Kenya, by providing administrative, conference and information services (www.unon.org). This post is located in the Chinese Text Processing Unit of the Translation and Editorial Section (TES) of the Division of Conference Services, Nairobi duty station.


Responsibilities


Under the general supervision of the Chief, TES and direct supervision of the Chief, Chinese Language Unit the incumbent will perform the following duties:- a) Process Chinese text related documents: Provide general guidance on typing standards and procedures and establish macros and guidelines for completion of official documents; Assist the Chief of the Unit by monitoring issuance of documents; Receive and record all documents for translation; Type in draft form text recorded on dictaphone cassettes or dictated directly as well as hand-written drafts from translators and editors ensuring that final products conforms with required standards; Type and format text rough drafts, transcribing, clean-tying and correcting files; Proofread text against original language, draft, correct and point out discrepancies to the editors and translators; Finalize documents and forward the final version to the submitting officers. b) Responsible for Office Management and Administrative support functions: Provide technical support in the utilization of the computer equipment in the text-processing Unit, make recommendations on upgrading and enhancement of the application, test, install and customize software package; Identify and solve technical problem; Implement the application of the computer Integrated Document Control and Performance Monitoring Systems (iDCPMS); Maintain the document filing systems in the unit. c) Coordinate freelance, translators and manage all documents: Maintain direct contact with contractual translators and inform the Chief of Unit on the availability of the translators; Advise the contractual translators of forthcoming jobs; Provide them with guidance on communication protocol and monitors progress; Ensure that terminology used in translation is in conformity with that of the organization and verify presentation and completeness of the returned translated documents; Report to document control unit on the volume of work. d) Supervise the text processing staff of the Unit: Establish the standard presentation in consultation with the Team Leaders on the quality and correctness of documents processed by the staff; Report on the technical requirements of draft and final text to facilitate the working process within the Unit; Assist text processing staff in resolving problems relating to transcribing, typing, proofreading and finalization of documents; Act as leave monitor to the staff in the unit and perform administrative functions assigned by the Chief of the unit. Report to the Chief of Unit on the training needs for the text-processing staff. e) Perform other duties as may be assigned.

Education


Completion of High school diploma is required with supplementary training in administration, secretarial or relevant fields desirable.


Work Experience


A minimum of seven years work experience in secretarial and text processing work is required, of which preferably three years at the United Nations or other international organization.


Languages


English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English and Chinese languages is required. Working knowledge of other UN official languages is an asset.


Assessment Method


Evaluation of qualified candidates for this position may include a substantive assessment which may be followed by a competency-based interview.
