Summary
Our client is a current dairy processor that is setting up a new factory in Rift Valley.
General Manager Job Purpose
- Reporting to the Board of Directors, the General Manager will be responsible for the day-to-day management and operations.
- Specifically, he or she will be ultimately responsible for the implementation of structures and operational policies.
- With and through coordinating, managing and monitoring the workings of all departments in the organization.
Primary Responsibilities
Planning administration
- Provide leadership and vision to the organization by assisting the Board and staff with the development of long range and annual plans, and with the evaluation and reporting of progress on plans.
- Oversee preparation of a Bi -Annual Report summarizing progress on short and long range plans.
Production
- Insure accurate documentation of production and quality control data and records.
- Work closely with the production manager to implement a quality management system (standardization, quality assurance etc.)
- Develop procedures and certification to meet customer procurement requirements.
- Carry out monthly short and medium planning on product output volumes, with specific consideration to maturation periods for different customers.
- Ensure milk intake is aligned with production, sales and financial priorities.
- Ensure all quality complaints have a root cause analysis with corrective actions alongside a formal apology to the buyer.
- Oversee and/or ensure good housekeeping of site at all times.
- Through co-operation set the departmental targets and support the team to achieve them.
- On a quarterly basis review the performance of the responsible manager and department.
Financial Management/Accounts
- Oversee the preparation of monthly and annual financial statements, budgets, check’s and protocols. Where needed provide development support.
- Frequently monitor the company’s financial health via implementing indicators. Thereafter seek assistance or take action where needed.
- Drive the implementation of activity based accounting to effectively track costs and resources consumed by each product to allow for accurate product pricing.
- Oversee the accounts manager’s engagement with financial institutions. Give recommendations where financial instruments are being considered.
- Provide leadership in fiscal planning to ensure the continuity and solvency of the company.
- Provide recommendations regarding effective utilization of short and long term debt, including refinancing.
- Through co-operation set the departmental targets and support the team to achieve them.
- Agree and set a date for monthly management financial statements to be completed and presented.
- On a quarterly basis review the performance of the responsible manager and department.
- Oversee debt collection (creditors and debtors ledger), the review of bank reconciliation, physical and book stock reconciliation.
- Randomly check the use of petty cash against the pre-authorized imprest.
Sales and Marketing
- Highlight the most important developments needed and plans to accomplish them.
- Drive the implementation of sales data tracking systems.
- Ensure that sales works simultaneously with production to grow sales, meet our customer’s needs, ensure adequate stocks and manage customer complaints.
- Oversee the teams creation of plans and targets for all of our product lines (fresh milk, yoghurt) and our markets (retail, catering, institutions, export, dukas and kiosks)
- Build an effective team to handle the companies needs of this department.
- Oversee the development of sales and marketing in Kampala.
- Travel and represent the company at events where required.
- Oversee the creation of marketing materials.
- Provide leadership to the department via developing long and short range objectives and targets.
- On a quarterly basis review the performance of the responsible manager and department.
Human Resources
- Recruitment and contracting of company and project staff;
- Employee development, and training;
- Policy development and documentation;
Employee relations
- Performance management and improvement systems;
- Employment and compliance to regulatory concerns and reporting;
- In consultation with the Divisional heads, ensure that only the optimum numbers of permanent staff are employed and that contract workers are available and correctly logged.
- Confirm that all permanent staff have a job description and receive a job appraisal at least once a year.
General
- Report to the Board Directors on a weekly basis of the activities of all areas in the company and make recommendations accordingly.
- Oversee the monthly reporting to the companies Non Board Directors. This is for all managers and includes planning, attending and arranging minuting of meetings;
- Monitor business agencies such as clearing agents and suppliers to ensure that they efficiently and effectively provide needed services while staying within budgetary limits.
- Ensure that the company is compliant with all legal requirements such as licensing and registrations.
- Oversee the Manager in charge of stock and inventory management to ensure an accurate accounting for merchandise and supplies, in compliance with designated inventory levels to help prevent stock-outs.
- Create and review business procedures and systems and address operational problems in a timely manner before escalation.
- Oversee the activities of the company transport to ensure maximum efficiency and optimal use.
- Ensuring the company’s control systems are effective at all times.
- Oversee the management of company restaurant.
- Any other duties assigned by the Board Directors.
Education
- Bachelor’s Degree in relevant field
Experience and Skills for General Manager Job
- At least three years’ experience in business management planning, personnel management and financial oversight.
- Excellent proven interpersonal, verbal and written communication skills.
- Demonstrate ability to manage and supervise staff in all levels.
- Some experience working with a board of directors is a plus.
- Proven skills in business and financial management.
- Effective decision making, problem solving and mediation skills.
- Demonstrated ability to share skills and knowledge with others.
- Proficiency with office computer equipment and software.
- Demonstrated ability to prioritize tasks and manage high workloads.
