Organizational Setting and Reporting


The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the representative office of the Secretary-General. UNON supports the programme implementation of the UN Environment Programme (UNEP) and the UN Human Settlements Programme (UN-HABITAT) globally, as well as other UN offices in Kenya, by providing administrative, conference and information services.The post is located in the Division of Conference Services (DCS). Under the direct supervision of the Chief of the Information Technology Unit, the incumbent will perform the following duties: Responsibilities


(1) Supervise the work of staff to ensure proper functioning of the Unit’s activities by:



  1. Maintaining existing computer software databases and ensureing timely information retrieval, processing and presentation;

  2. Supervising correct set up of infrastructure needed for DCS Meetings;

  3. Supervising service desk operations, logging of trouble tickets, categorization into incidents, problems and requests, servicing of calls and escalation where necessary and ensures timely resolution;

  4. Supporting meeting operations including requirements definition, preparation, setup, delegate support and eliciting feedback for continual improvement;

  5. Preparing and maintaining technical systems documentation and user manuals;

  6. Managing projects involving feasibility study, systems analysis, design, development and implementation of new moderately complex systems and participating as a member of the development team;

  7. Analysing users’ requests for information and formulating effective database queries and designing appropriate reports to meet such ad-hoc requests;

  8. Advising on implementation and supporting the development of corporate DCS applications;

  9. Providing guidelines and ideas on introduction of new technologies;

  10. Recruiting and supervises short-term staff to assist with the workload during peak periods.


(2) Act as systems administrator for DCS systems and servers by:



  1. Monitoring the efficient functioning of DCS systems;

  2. Coordinating with the Information and Communication Technology Service (ICTS) on the resolution of network and server issues;

  3. Developing training materials;

  4. Planning, scheduling and coordinating training for new and existing users in the use of the various systems and applications used by the Division;

  5. Monitoring the usage of DCS systems and user-satisfaction, and making recommendations for improvement.


(3) Maintaining close cooperation with UNON/ICTS and DGACM IT teams:



  1. Coordinating with UNON/ICTS on service desk, infrastructure and other services;

  2. Liaising with the DCS Webmaster to keep the DCS website up-to-date;

  3. Applying the latest patches and upgrades to the DCS systems


(4) Assist in the preparation of statistical reports in the required formats by:



  1. Providing assistance to the various DCS sections in the preparation of regular and ad-hoc reports;

  2. Advising on introduction of new reports formats and reporting tools;

  3. Modifying reporting modules to keep in line with statistical requirements;

  4. Acting as resource person for the Documents Control Unit.


(5) Undertaking other duties as required.

Education


Completion of secondary education is required. Supplemental training in Computer Science, System Administration, Service Operations or other related IT field is required. ITIL Knowledge and certifications are highly desired.


Work Experience


Ten years of relevant and progressively responsible experience in the Information Technology field specifically in the areas of system administration, conference applications support and service desk operations is required. Some experience in an international organization is desired.


Languages


English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Working knowledge of other United Nations languages is desirable.


Assessment Method


Evaluation of qualified candidates may include an assessment exercise which will be followed by a competency-based interview.
